Fundraising Policy

Effective Date: 3/10/2026

1. Introduction

Gonzaga High Performance Volleyball Club ("the Club") believes that fundraising is an important way to help reduce costs for athletes while fostering teamwork and team unity. The Club supports and encourages fundraising efforts that help offset team expenses while ensuring fairness and transparency in the distribution of funds.

2. Individual Fundraising Efforts

  • Fundraising activities are typically organized as team events, but funds are tracked individually.

  • Example: If the team sells tickets and earns a $5 profit per ticket, each player will receive $5 credited to their individual fundraising account for every ticket they personally sell.

  • Fundraising proceeds are not split evenly among team members unless explicitly stated in advance.

3. Use of Fundraised Money

  • All funds raised remain with the team or club account and cannot be withdrawn or refunded directly to individual players.

  • If a player withdraws from the team or becomes injured, they cannot "cash out" any funds raised.

  • Fundraised money remains with the team and may be used to help cover team expenses, including costs associated with a replacement player.

  • Parents who have paid out of pocket for approved team expenses may be reimbursed using fundraised money after the season concludes, if funds are available.

  • Players who have fully covered their fees through fundraising are not eligible to receive a refund under any circumstances.

4. Fund Allocation & Carryover

  • Any remaining funds in a player’s individual fundraising account may be applied toward:

    • Registration fees for the next club season

    • Club clinics, camps, or training programs offered by Gonzaga High Performance Volleyball Club

    • Transfer to another athlete within the Club, subject to approval by Club administration

  • Fundraised money cannot be withdrawn for personal use outside of approved club-related expenses.

5. Compliance & Responsibility

  • Players and parents are responsible for following all fundraising policies and guidelines.

  • Any misuse or misrepresentation of fundraising activities may result in disciplinary action.

  • All fundraising initiatives must be approved by the Club in advance to ensure compliance with regulations and Club standards and are subject to fundraising laws as set down by Government of Newfoundland and Labrador
